Compliance checklist for UK properties

If you rent out property in the UK, the Compliance checklist helps you send and store every document a tenancy needs to meet Renters' Rights Act requirements. This guide covers where to find the checklist, how to send the "How to Rent Guide" and safety certificates to your tenants, and how to keep records up to date as documents are renewed.

What you need to know

  • The Compliance checklist is available on UK accounts only.

  • The checklist sits inside each tenancy, so progress is tracked separately for every let.

  • Five core items count toward the progress bar: the "How to Rent Guide" and four required certificates.

  • Items in "Additional documents" (Legionella, PAT, Insurance) are optional and do not affect the progress count.

  • Tenants must have an email address on their contact record to receive a compliance document. Tenants without an email will appear disabled in the send modal.

Open the Compliance checklist

Step 1: Open the property from your "Properties" list.

Step 2: Select the active tenancy from the "Tenancy" dropdown at the top of the property page.

Step 3: Select the "Compliance" tab.

Landlord Studio will show the checklist with a progress bar, the "How to Rent Guide" row, the "Certificates" section, and an "Additional documents" section. The "Quick links" panel on the right surfaces official UK guidance.

Send the How to Rent Guide

Every new tenancy in England must receive the latest "How to Rent Guide" before move-in.

Step 1: In the "How to Rent Guide" row, select "Send".

Step 2: In the "Send compliance document" modal, tick the tenants you want to send to, then select "Send certificate".

Landlord Studio will email the current Government version of the guide to each selected tenant on your behalf. The row will then show "Sent to X of Y tenants" so you can see at a glance who has received it.

What your tenants receive

Tenants receive a branded email from Landlord Studio that names the property, attachment to the How to Rent Guide, and points them back to you for any tenancy questions.

Upload required certificates

Four certificates count toward the progress bar:

  • Energy Performance Certificate (EPC)

  • Gas Safety Certificate (CP12)

  • Electrical Installation Condition Report (EICR)

  • Fire Alarm Certificate

Step 1: Next to the certificate you want to add, select "Upload".

Step 2: Choose the file from your device, set the expiry date, and confirm.

Landlord Studio will store the certificate against the property, tick the item on the checklist, show the "Expires:" date inline, and add the file to the property's "Documents" tab.

⚠️ Missing or expired certificates can prevent you from serving a valid Section 21 notice and may result in fines. Upload renewed versions as soon as you receive them so the checklist stays accurate.

Send a certificate to your tenants

Once a certificate is uploaded, you can send a copy to your tenants from the same row.

Step 1: Select the dropdown arrow next to "View" on the certificate row.

Step 2: Choose "Send" from the menu.

Step 3: In the "Send compliance document" modal, tick the tenants who should receive a copy, then select "Send certificate".

The certificate row will then show "Sent to X of Y tenants" so you can track which tenants are still outstanding.

Manage certificates for HMOs

If you let a House in Multiple Occupation (HMO), every unit shares the same building-level compliance certificates. This section explains where to upload HMO certificates, how each unit inherits them, and how sending still works at the unit level so you can track recipients individually.

Step 1: Open the HMO's parent property from your "Properties" list, then select the "Compliance" tab.

Step 2: Upload each certificate against the parent property, following the same steps as in "Upload required certificates" above. Landlord Studio will store the certificate against the parent property and make it available to every unit beneath it.

Each unit in the HMO inherits the certificate from the parent property where one is available, so you upload a building-level document once instead of repeating it for every unit. When a unit has no inherited certificate available, that item stays outstanding on the unit's checklist.

⚠️ Sending is still done at the unit level. Open the relevant unit to send a certificate so each recipient is tracked separately, and you can see exactly who in that unit has received it. Sending from the parent property is not available, so a copy sent from the unit is the only way to record delivery against that unit's tenants.

Upload additional documents (optional)

Use the "Additional documents" section for compliance items that may apply to your property:

  • Legionella Risk Assessment Certificate

  • Portable Appliance Testing Certificate (PAT)

  • Insurance

Step 1: Next to the document you want to add, select "Upload".

Step 2: Choose the file from your device and confirm.

These uploads are stored alongside your required certificates but do not change the progress count on the checklist.

Track progress

The progress bar at the top of the checklist updates automatically as each required item is sent or uploaded. The "Compliance" tab also shows a warning icon next to its label whenever any required item is outstanding for the active tenancy, so you can spot gaps from anywhere on the property page.
