How to Track Mileage Records

Automate your mileage tracking with Landlord Studio to maximize your end of year mileage and travel deductions.

Your mileage can add up to a significant deduction, but it requires you to keep a detailed mileage log. Landlord Studio automates this for you.

Landlord Studio allows you to track and log mileage for your property-related journeys, making it easier to maintain accurate travel records so you can claim every mile on your tax return and maximize your end-of-year deduction.

Adding a Mileage Entry

1. Navigate to the Mileage Section

  • Log in to your Landlord Studio account.

  • Select the relevant property you want to log mileage for.

  • Go to the Mileage & Reminders tab.

Note: On mobile, you can use the quick-start button on the dashboard to begin a new journey.

2. Create a New Mileage Entry

  • Click the + New button in the Mileage section.

  • A pop-up window labeled Add Mileage will appear.

3. Enter Journey Details

  • Start Location: Enter the starting point of your journey.

  • Next Location: Add additional stops (up to 10 locations per trip) or enter the End Location.

  • Start Date & Time: Select the date and time of departure.

  • End Date & Time: (Optional) Enter when the journey ended.

  • Purpose: Specify the reason for the trip, such as property inspections, tenant meetings, or maintenance visits.

  • Additional Info: (Optional) Add any relevant notes, parking fees, toll charges, etc about the trip.

4. Save the Entry

  • Click the Save button to record the mileage.

  • Your journey will now appear in the mileage log, with distance and estimated travel time automatically calculated if applicable.

Managing Mileage Records

  • Edit or Delete: Click on an existing mileage entry to make changes or remove it.

  • Export Mileage Data: You can generate reports to assist with tax deductions and expense tracking.

Best Practices

  • Log mileage as soon as possible to ensure accuracy.

  • Use detailed descriptions to easily identify the purpose of each trip.

  • Regularly review and export mileage records for financial tracking and tax reporting.
