Tracking Mileage and Reminders in Landlord Studio

Track mileage for your properties and set personal reminders to ensure you never miss an important event.

The Mileage & Reminders tab in Landlord Studio helps you keep track of important property-related tasks and your mileage expenses.

Never miss key deadlines such as property inspections and certificate renewals. This is also where you'll find the mileage tracker on desktop, which is a key feature for maximizing mileage tax deductions.

Accessing the Mileage & Reminders Tab

To navigate to this section:

  1. Open the Properties list.

  2. Select a property.

  3. Click the Mileage & Reminders tab from the top navigation menu.

Creating Reminders

The Reminders section helps you track upcoming and completed tasks related to your property.

Adding a New Reminder

  1. Click the + New button.

  2. Enter the reminder details (e.g., title, description, due date, and time).

  3. Optionally, mark the reminder as recurring for tasks that repeat (e.g., insurance renewals, maintenance checks).

  4. Click Save to create the reminder.

You will receive an email when the reminder is due and can keep tabs on your upcoming reminders either on the reminders tab on the property or via the Landlord Studio dashboard. Click on the notification bell at the top of the dashboard or view reminders via the calendar.

Managing Reminders

  • Mark as Complete: Click on a reminder and mark it as complete once the task is done.

  • Filter Reminders: Use the filter icon to view only completed or upcoming tasks.

  • Recurring Reminders: Switch to the Recurring Reminders tab to view and manage repeating tasks.

Mileage Tracking

The Mileage section allows you to log travel related to your rental properties, helping with tax deductions and financial tracking.

Adding a New Mileage Entry

  1. Click the + New button.

  2. Enter details such as:

    • Start Date & Time and the End Date & Time of the trip

    • Start location and End location

    • Purpose of the trip (e.g., property inspection, maintenance)

    • Distance traveled (miles/kilometers)

    • Additional information (optional)

  3. Click Save to log the trip.

Note: If you enter the From and To addresses, the software will automatically calculate the route and total distance for you. You can override this manually as needed.

Notes

At the bottom of the Mileage & Reminders tab, you can add general Notes related to the property. These can include maintenance updates, tenant requests, or any other information related to the property or tenant.

Reminders & Mileage: Best Practices

  • Set up recurring reminders for lease renewals, inspections, and tax deadlines.

  • Log mileage immediately after travel to ensure accurate tracking.

  • Use detailed notes in mileage entries to justify deductions for tax purposes.

By leveraging the Mileage & Reminders tab, landlords can stay organized, keep track of key property tasks, and maximize their tax deductions efficiently.
