Inviting Users to Your Nexus Account

How to invite another person to your Nexus account, check invite status, revoke an invite, and remove a user.

If you own properties with someone else, or you want another person to help manage your portfolio, you can invite them to your Nexus account. Each person gets their own login, and each can authorise their own HMRC connection and submit their own share.

This article covers sending an invite, checking its status, and removing access when it is no longer needed.


Before You Start

Only account owners can invite users. If you do not see User & permissions in your account, or you open the page and see a no access message, you are not an owner on this account. Ask the account owner to send the invite instead.

You will need the first name, last name and email address of the person you want to invite.


What the Person You Invite Can Do

Before you send an invite, it is worth knowing what access the other person gets. Anyone you invite:

  • Will have full access to all property and transaction data in this account.

  • Can authorise their own HMRC connection.

  • Can submit their own MTD quarterly updates.

  • Cannot manage billing or other users.

Note: There is no way to give someone partial access to your data. If you invite a person, they can see every property and every transaction in the account. Only invite people you are happy to share your full portfolio with.


Step 1: Open User & Permissions

From the main menu, go to User & permissions. Nexus will show everyone who currently has access to your account, along with their role and status.

The page has two tabs:

  • Active shows people who have accepted an invite and can sign in now.

  • Invited shows invites you have sent that have not been accepted yet.


Step 2: Send the Invite

Click Invite user in the top right of the page, then:

  1. Enter their First name.

  2. Enter their Last name.

  3. Enter their Email. Use the address they will sign in with.

  4. Click Send invite.

Nexus will email the invite and add the person to the Invited tab with a status of Pending.


Step 3: What Happens Next

The person you invited receives an email letting them know you have invited them to join your Nexus account. To accept, they:

  1. Click Accept Invite in the email.

  2. Create their own Nexus account and set a password.

  3. Sign in and start viewing the property portfolio.

Once they have accepted, they move from the Invited tab to the Active tab and their status changes to Active.


Checking Invite Status

Open the Invited tab to see where each invite has got to. You will see one of the following:

  • Pending: the invite has been sent but not accepted yet.

  • Expired: the invite was not accepted in time and can no longer be used.

  • Revoked: you cancelled the invite before it was accepted.


Revoking an Invite

If you sent an invite by mistake, or the person no longer needs access, you can cancel it before they accept.

Open the Invited tab, find the invite, and choose to revoke it. Nexus will ask you to confirm.

Note: Revoking an invitation cannot be undone. The link in the original email stops working straight away. If you revoke by mistake, you will need to send a fresh invite.


Removing a User

To remove someone who already has access, open the Active tab, find them in the list, and use the delete icon on their row. Nexus will ask you to confirm.

Once removed, that person loses access immediately. The next time they open Nexus they will see a message telling them they no longer have access to the account.

Note: Removing a user cannot be undone. If you remove someone by mistake, you will need to invite them again and they will need to accept the new invite.

You cannot remove yourself, and the account administrator cannot be removed.
