How to view your Communication Log

View outbound emails Landlord Studio has sent to your tenants.

Written by Oliver Chiang

If Landlord Studio sends emails to your tenants on your behalf (for example, official documents, certificates, reminders, receipts or more), the Communication Log gives you a record of those messages. You can open it on desktop and on the mobile app.

The list of emails tracked will grow over time. Only compliance related emails in the UK are visible during the preview period.

How much history you can see

How far back your Communication Log goes depends on your plan.

  • GO: the last 30 days of communications.

  • PRO: the last 2 years of communications.

  • PRO Plus: the last 7 years of communications.

Emails sent outside your plan's window will no longer appear in the log, so upgrade before you need a longer record for a compliance check or a dispute. Upgrading restores access to communications already inside the new window.

Open a tenant's Communication Log on desktop

Step 1: Select "Contacts" in the left navigation, then select "Tenants".

Step 2: Select the tenant whose communications you want to review.

Step 3: On the tenant's profile, select the "Communication log" tab.

Landlord Studio will display a table of every email sent to that tenant within your plan's history window, with the date created, the email subject, and the delivery status.

View the details of an email on desktop

Step 1: Find the email you want to inspect in the table.

Step 2: Select the arrow on the right of the row to expand it.

Landlord Studio will show the recipient address, the full message body, the number of attached documents, and time.

Open a tenant's Communication Log on mobile

The Communication Log is available in the Landlord Studio app on both iOS and Android.

Step 1: Open the app and go to the tenant whose communications you want to review.

Step 2: On the tenant's profile, select "View communication log". You will find it directly below the tenant's email, phone and mobile details.

Landlord Studio will display every email sent to that tenant within your plan's history window, newest first. Each row shows the date sent, the email subject with the property address, and a status chip on the right.

Step 3: Use the search bar at the top of the list to find a specific email by subject or property address.

If Landlord Studio has not sent any emails to this tenant yet, the app will show "No emails sent yet". Emails will appear here automatically once they are sent, so there is nothing to set up.

Understand the delivery statuses

The status tells you what happened to the email after Landlord Studio sent it. On desktop it appears in the "Status" column. On mobile it appears as a chip on each row, and as a full timeline under "Status" when you open the email.

  • Sent: Landlord Studio successfully sent the email to the tenant's email provider. It does not confirm the tenant has read it.

  • Processing: Landlord Studio has attempted to send the email to the recipient. Awaiting on delivery confirmation. This could take up to 1 hour for the status to update.

  • Delivered: The tenant's email provider accepted the message and placed it in their inbox.

  • Opened: The tenant's email client loaded the message. Some clients block this signal, so an email can be read without ever showing as "Opened".

  • Bounced (shown as "Failed" in the mobile app): The tenant's email provider rejected the message. This usually means the address is wrong, the inbox is full, or the provider flagged the email as spam. Update the tenant's email address on their profile and resend the document.
